Temporary Withdrawal

Temporary Leave Due to Special Circumstances
Situations such as temporary disability, childbirth, adoption or guardianship for the purpose of adoption, foster care, risk during pregnancy or breastfeeding, gender-based violence, or any other situation covered by current regulations during the doctoral studies period will interrupt the calculation of the maximum duration of the studies. Doctoral students in any of these situations must inform their supervisors and tutor, and notify the academic committee of the doctoral program via the  Student and Teaching office (SED), providing the necessary supporting documentation. At the beginning of the academic year, during the enrollment period, the student must report if they remain on leave.

Temporary Leave for Personal Reasons
The doctoral student may request temporary leave from the program for personal reasons, for a total of up to two years. The student must inform their supervisors and tutor. This request must be duly justified and submitted to the academic committee of the program through the student and teaching office (SED). The academic committee is responsible for reviewing and resolving the request.

Effect of Leave on Program Deadlines
The period of leave granted for any of the above reasons will be recorded in the student’s academic file and will suspend the calculation of time limits related to study commitment.

Leave Shorter than One Academic Year
If the temporary leave granted is for less than one academic year, the student must still complete enrollment and, upon return, must either request approval of the research plan or complete the annual evaluation and monitoring of the research plan. This is required in order to enroll in the following academic year.

Leave Exceeding One Year Without an Approved Research Plan
If the student requests a temporary leave of more than one year for personal reasons and the research plan has not yet been approved, they must notify the academic committee of the doctoral program. In such cases, the student is considered to have withdrawn from the program. To resume studies, the student must reapply for admission to the doctoral program.


Permanent Withdrawal

Permanent Withdrawal from the Program
Permanent withdrawal prevents the doctoral student from continuing in the program in which they were enrolled and results in the closure of their academic record. The student may not reapply for admission to the same program until at least two academic years have passed.

Grounds for Permanent Withdrawal
The following are considered valid reasons for permanent withdrawal from the program:

  • Failure to pass the required additional training courses during the first academic year.
  • The student’s formal notification of permanent withdrawal from the program.
  • Expiry of the maximum allowed duration of the doctoral studies, including any authorized extension if applicable.
  • Failure to enroll in the doctoral program for an academic year without having requested temporary leave.
  • Failure to submit the research plan for approval within the established deadline.
  • Rejection of the research plan by the academic committee, or an unfavorable report in the annual evaluation and monitoring of the research plan.
  • Failure to submit, within the established deadline, the documents required by the academic committee of the doctoral program to carry out the annual evaluation and monitoring of the research plan.
